How Barcode Inventory Tracking Works

Barcode inventory tracking connects a physical label with a product record inside an inventory system. Instead of manually searching for a product every time stock moves, a user can scan the barcode and immediately identify the correct item.
What does a barcode actually identify?
A barcode normally represents an identifier. The barcode itself does not contain the complete product record, available stock, selling price, supplier history, or inventory movements. The business system uses the scanned value to find that information.

How barcode inventory tracking works
- Create a product or product variant.
- Assign or generate a barcode value.
- Print or attach the barcode where needed.
- Scan the barcode when receiving, finding, selling, or counting the item.
- Let the inventory system apply the relevant stock transaction.
- Keep the movement in inventory history for later review.
One barcode does not mean one physical unit
Businesses often sell several identical units of the same product. Ten identical bottles can therefore share the same product barcode while inventory keeps the quantity separately.
For example, if a business receives 10 identical bottles, the system can record quantity 10 against one product. Selling one bottle reduces that quantity to 9. A unique identifier for every physical unit is normally needed only when the business uses serial-level tracking.
Barcodes and product variants
Variants that need to be distinguished during sale or stock counting should normally be identifiable separately. A 500 ml bottle and a 1 litre bottle may therefore use different barcode values even when they belong to the same parent product.

Barcodes and SKUs are related but not identical concepts. A business can use an SKU as an internal naming structure while using a barcode as the value employees physically scan.
